Accommodation
Several hotel rooms in Munich and the surrounding areas that fall in different price categories have been reserved for the 24th Annual Congress of the ERS. As a service for individual participants, K.I.T. Group will arrange your hotel accommodation at no extra charge. The hotel ratings range from 2 to 5 stars.

- All rates (per room, per night) include breakfast, VAT, city tax and service. Rates are shown for standard rooms. Other types of rooms (superior, junior suite etc.) are available on request.
- Each category has a minimum and a maximum rate based on single/double occupancy
- All hotels offer bath/shower/WC, telephone and breakfast facilities. Hotels of 4 and 5 stars usually have a restaurant and a bar.
Reservation
Due to limited room availability in Munich, we do advise you to make your reservation as early as possible so that you have the best choice of the available hotels.
Hotel accommodation is subject to availability and will be allocated on a “first come, first served” basis.
Beginning in April 2014, reservations can be made by using the online hotel booking form (please see link above). A credit card and full card holder details will be required. Telephone reservations will not be accepted.
Should the selected hotel(s) be sold out, K.I.T. Group reserves the right to book a hotel in an alternative category and price range.
Payment and Confirmation
On receipt of the hotel booking request, K.I.T. Group will charge a deposit of EUR 35 and send a confirmation. The remaining accommodation payment will be charged on 5 June, 2014, and K.I.T. Group will send an accommodation invoice. Alternatively, a bank transfer for the entire accommodation amount can be made by this date. Please indicate that the bank transfer should be made “free of charge to the receiver account”.
From 5 June, 2014 onwards, only payment by credit card will be accepted. In this case, the credit card will be debited for the entire accommodation amount on receipt of the booking request.
No invoice will be sent until K.I.T. Group has received the full payment.
If K.I.T. Group does not receive the payment on time or is not able to debit the provided credit card by 5 June, 2014, the hotel reservation will be cancelled depending on the cancellation conditions.
Please state the participant name, participant number, and “ERS 2014 Hotel” when making the accommodation payments.
Should there be any subsequent changes regarding the hotel room reservation (e.g., cancellation or no-show), the hotel or K.I.T. Group reserve the right to debit/credit the required/refunded amounts from/to your credit card account.

Please note that hotels will not accept any changes or cancellations directly.
Individual Reservations
K.I.T. Group will retain the deposit of EUR 35 in the case of cancellations received before 5 June, 2014. For cancellations received between 5 June, 2014 and 5 July, 2014, the cost of one full night of accommodation will be charged by K.I.T. Group. For cancellations received after 5 July, 2014, no refunds will be possible. In this case, the full value of the reservation indicated on the hotel reservation form will be charged, regardless of circumstances. In the case of a reduction in the length of stay after 5 July, 2014 and in the case of a no-show, no refunds will be made. In both cases, the entire number of booked nights will be charged. Rooms left empty due to no-shows will be released at 09:00 the following day and the accommodation costs will not be refunded. However, if the hotel room can be resold, any resulting refunds will be provided after the Congress.
Group Reservations
Group reservations (10 rooms minimum) will be handled by separate contracts and separate regulations. Please contact KIT Group for further information at ers2014hotel@kit-group.org.
Low Budget Accommodation
For reservations in youth hostels and hostels, please note that it is not possible to make pre-bookings through K.I.T. Group. However, the following websites provide lists of youth hostels and hostels. You can make your reservation directly via these websites. The rates start at approximately EUR 30 per night.
